There are two different work modes in Remove Duplicate Emails:

Search for duplicate email messages and posts in each individual folder

In this mode, the program processes each selected folder separately, with no relation to other folders. Two identical email messages/posts are deemed duplicates provided they are stored in the same folder.

The work mode is designed to search for duplicate messages and posts stored in the same folder. It will help you to get rid of unneeded message and post copies in one or several folders. You might find this mode especially helpful if your Internet connection has been broken while receiving a great number of messages, and already received messages were received again upon reconnection.

Search for duplicate email messages and posts across a group of folders according to their priority

When this mode is chosen, the program will search for duplicates of an email message/post not only in the same folder, but also in all other folders you selected.

If some identical email are stored in different folders, the email stored in the high-priority level folder you choose, as “Important Letters”, will be left intact, the others will be processed (deleted, marked, copied, moved).

In this mode, you can find and process (delete, mark, copy, move) duplicate messages and posts stored in different folders. You may find it helpful when you want to clean your mail folders from message and posts copies made “just in case”, which you do not need any more. Using the priority system provided with this mode, you can specify, for example, two identical messages/posts stored in the folders “Important Letters” and “Temporary Folder”, the message/post in the temporary folder that should be considered duplicate and hence needs to be deleted (marked, copied, moved).

Remove Duplicate Emails also allows the setting of a specific receipt time range for duplicate messages and posts to be processed (deleted, marked, copied and moved). This feature will help you to save time by excluding messages and posts from archive folders and other folders of the kind from processing.

It is explained how to remove duplicate items in Outlook by using a free program called ODIR (Outlook Duplicate Items Remover). ODIR is an excellent program because it can remove all duplicate items, not only from your email folders, but also from your Contacts list, your Calendar, your Tasks or even your Notes.

How to remove all duplicate items in your Outlook Email, Contacts, Tasks or Calendar.


1. You can download ODIR from here.

2.  Press “Run” to install ODIR – Outlook Duplicate Items Remover –  immediately or save the “ODIR.exe” to your computer to install the program later.

3. Press “Next” at ODIR installation wizard and continue to the installation steps.

4. “Accept the agreement” and then press “Next” to continue.

5. Close your Outlook program and then press “Next” again

6. Specify the destination location or leave the default location and press “Next” again.

7. Specify a new start menu folder or leave the default and press “Next” again.

8. Review your choices and then press the “Install” button to start the ODIR installation.


9. Finally press “Finish” to exit ODIR installation.



1. Open your “Outlook” program.

2. From Outlook main menu choose ODIR > Remove Duplicate Items. *

In Outlook 2010, you’ll find ODIR under the “Add-Ins” tab.


3. In Outlook Duplicate Items Remover main window select the folder from which you want to remove the duplicate items (e.g. your “Inbox”) and then press the “Remove duplicate items” button.


4. Wait until the duplicate removal process is completed and then close the “ODIR” program.

5. Now under the folder you selected to find duplicates, you will find a new folder named “ODIR_Duplicate_Items”. Inside that folder you can review all duplicate mails found and then you can securely remove them.

While you can remove duplicates by hand, the tools on this page make it easier when there are a lot of duplicates. Although some of these tools work only with the mail folders, many will work on any Outlook folder that contains duplicates.

Manually Remove Duplicates

To remove duplicates, you need to use a single line table view, either by turning off the reading pane (View tab) or by dragging it to the right to make it narrower (on smaller screens, you may also need to collapse the navigation pane and To-do pane). In Outlook 2016, you may want to turn off Message Preview.

If you are using the the default group view in email folders, click on the field names above the message list and deselect Show in Groups.


For email folders, all standard views use a table view and you just need to turn off grouping and move (or turn off) the reading pane to enable the single line view. In the calendar, choose Events or By Category view, or in Outlook 2010 and up, the List view. Use Phone view or a list view in Contacts.


With a single line view:

  1. Right-click any column heading, then choose Field Chooser.
  2. In the Field Chooser, switch from the Frequently-used fields list to Date/Time fields, and then drag the Modified date field to the view to add it to the fields displayed.
  3. Click on the Modified column header to sort by that field.
  4. You should now see your Outlook items in reverse chronological order.
  5. Click on the first item you want to delete.
  6. Use the scroll bar to find the last item with the same modified date.
  7. Hold down the Shift key as you click on the last one. This selects all the items between the two selections.
  8. Press Delete to remove them all from the folder.
  9. Reset the view when finished.

This method works well with imported items or when you re-download messages left on the email server because you’ll have one set of items with the same modified date.

The steps for Outlook 2003 and up are basically the same, except for the menu commands to turn the reading pane off and on. The first half of the video was recorded in Outlook 2010, the second half in Outlook 2007.

To turn the reading pane off and on in Outlook 2010, go to the View ribbon and expand the Reading pane menu.
